Departments and Sections

The Reference Department conducts activities that support science and didactics at the AGH University of Krakow. The basic tasks of the department include:

  • carrying out information activities relating to the content and use of collections,
  • organising, administering and maintaining access to e-resources,
  • assistance in bibliographical and subject searches of literature based on electronic and printed resources,
  • compiling thematic bibliographic lists for AGH teaching employees and other universities (upon request),
  • documenting the publication achievements of AGH employees in the AGH Authors and Publications Database (BaDAP),
  • performing citation analysis of scientific publications based on databases,
  • participation in research works carried out at the University in terms of bibliometric and bibliographic support,
  • creation and co-creation of bibliographic and information databases,
  • organising exhibitions of new Polish books' purchases,
  • organising thematic exhibitions and other events for members of the academic community,
  • conducting trainings for AGH students and AGH doctoral students,
  • coordination of internships for librariaship students,
  • orginizing Library sighseeing for groups.

The Storage Department fulfils orders for the Circulation Desk and the Main Reading Room. This Department also stores and secures the collections of AGH University Main Library. The main tasks of the Depratment include:

  • delivering orders to specific agendas,
  • maintaing collections in proper condition,
  • selecting publications for preservation and binding,
  • choosing publications for selection,
  • cooperating with the Circulation Department in organising, storing and conserving the collections and in inspecting, selecting and repairing the collections.

The primary tasks of the Department include the implementation of a planned policy of collecting books and extending collections of books and journals in accordance with the research directions and teaching needs of the University. Collections are acquired through domestic and foreign purchases, exchanges and donations. The Department is made up of two teams: Printed Collection Team and Digital Collection Team. Common tasks of the Teams include:

  • purchase of books and subscriptions of journals for the Main Library and Fiction Library collections,
  • purchasing and providing access to subscribed and purchased e-books,
  • conducting exchanges of library materials, in cooperation with Polish and foreign institutions,
  • supplementing the book collection through donations,
  • alphabetical and subject cataloguing of the AGH University Main Library and other AGH units' collections (books, journals, serials),
  • contributing to the creation of a central catalogue of the collections of Polish scientific and academic libraries by creating new bibliographic records and modifying existing ones,
  • retrospective cataloguing,
  • updating AGH University Libraries online catalogue.

Printed Collection Team

  • keeping summary and individual records of incoming library materials,
  • keeping records of books and journals unwanted due to too many copies,
  • keeping summary and individual records of library materials dedicated for selection,
  • keeping paper and electronic inventories of the AGH University Main Library collections,
  • supervising the special collections' cataloguing,
  • conducting purchase orders and asset accounts for the collection (printed and electronic),
  • providing trainings and consultation in cataloguing,
  • preparing analyses and statistics on the content of the library collection.

Digital Collection Team

  • supervision of the digitisation process in the Main Library,
  • scanning on demand,
  • digitisation as part of ongoing projects,
  • providing trainings and consultancy on digitisation.

The Circulation Department performs tasks in the field of user service and fulfiling orders for borrowing library materials outside the building. Agendas of the Department include: Circulation Desk, Open Stacks Area and the Main Reading Room (on-site use of library materials). The tasks of the Department include:

  • enrollment, renewal, modification and clearing of library accounts,
  • borrowing and returning of books,
  • circulating of library materials from closed stacks, textbook collection and journals,
  • library book drop operation,
  • sending reminders to users with overdue items on their accounts,
  • creating protocols of stolen or damaged books,
  • organising, moving and selecting the book collection in terms of content and technical aspects, as well as participating in the inventory,
  • receiving and settling payments for library services and materials in accordance with the Rules for the use of the AGH University Main Library,
  • providing users with information about services and collections of AGH University Main Library,
  • cooperation with the Storage Department on the organisation, storage and preservation of the collections and on the inspection, selection and repair of the collections,
  • conducting library trainings for AGH students,
  • conducting library lessons and presenting the library to organised groups.

The Special Collection Department collects items separated from core library collection due to their specific nature. These collections are available on site in the Special Collection Department Reading Room. These collections include doctoral thesis defended at AGH University, manuscripts, Polish and foreign standards, patent descriptions, cartographic documents and technical and trade literature. The main tasks of the Department include:

  • collecting, cataloguing and circulating of special collections,
  • administering and maintaing access to standards' and patents' databases,
  • implementation of queries in the field of specialized standardization information and purchasing Polish and foreign standards for AGH employees and AGH University units,
  • registering patent documents of AGH employees in the AGH Authors and Publications Database (BaDAP)
  • providing information services in the field of patent information, organising and conducting trainings and workshops on patent database searches and industrial property protection for researchers, students, entrepreneurs, patent agends and patent attorneys,
  • providing trainings for AGH students and AGH doctoral students,
  • running the Standards Information Point in cooperation with the Polish Committee for Standardization,
  • running the PATLIB Patent Information Centre as part of the PATLIB European Network of Patent Information Centres in cooperation with the  Patent Office of the Republic of Poland and the European Patent Office.

The main tasks of the Section include:

  • providing content-related supervision on Branch Libraries, ensuring that the legal regulations related to their activities are up-to-date and complete, providing instructions, organising meetings and training sessions for the Branch Library staff, orginising periodic visits,
  • cooperation with domestic and foreign libraries,
  • interlibrary loans for AGH students, AGH doctoral students and AGH employees as well as other individual and institutional entitled users,
  • participation in working with Branch Libraries in terms of collection consolidation, organisation and coordination of computerisation of library processes,
  • verifying documentation related to the selection and inventory of collections in the Branch Libraries,
  • cooperation with all AGH University Main Library departments/sections on activities for the Branch Libraries, ensuring that sources of information on the libraries' holdings and operations are up to date,
  • carrying out a continuous quantitative and asset inventory of the AGH University Main Library's collection, including clarifying any discrepancies in the records of the total and unit records with the actual state, preparing proposals for annual plans and reports on the control of the AGH University Main Library,
  • verifying documentation related to the selection of the AGH University Main Library collection.

Independent Section for Interlibrary Cooperation and Collection Inventory employees

Main tasks of the Section include:

  • handling administrative and financial accounting matters,
  • co-operating with the Director in reviewing, signing and concluding contracts that result in financial liabilities for the Library,
  • cooperating with the Director in drawing up analyses and reports on the Library financial situation,
  • keeping records of fixed assets, excluding the book collection,
  • ensuring the efficient operation of the building, fire protection systems and building equipment (ventilation, air-conditioning, etc.),
  • drawing up renovation plans and managing matters related to renovations,
  • carrying out the procurement of office, household and printed materials,
  • carrying out necessary works, minor repairs and renovations,
  • ensuring that the Library building and its premises are in good order and appearance,
  • handling matters relating to the repair of computer and office equipment and facilities.

Main tasks of the Section include:

  • day-to-day monitoring and troubleshooting of computer hardware and software,
  • hardware and software installing,
  • organising IT facilities necessary for the proper operation of library services,
  • administering the computer network and servers at the AGH University Main Library,
  • administering the library system and coordinating work related to its functioning in the Branch Libraries and the libraries of the Krakow Library Group,
  • creating IT tools to improve the library's work,
  • working on the digitisation of the library collection and making electronic documents available in the digital library,
  • training library staff in the use of hardware and software.

Information Technology Section employees

Teams

The main task of the Team is to prepare bibliometric and scientometric analyses and summaries based on databases and tools (e.g. Scopus, SciVal, Web of Science, InCites).

Main tasks of the Team include:

  • scanning and processing scans, 
  • creating Digital Library,
  • improving access to already digitised resources, updating formats and the way of digital resources circulation, adding new functionalities, e.g. some of the old prints, monographs, scripts are presented in the form of graphic galleries,
  • providing trainings and consultations on digitisation.

Main tasks of the Team include:

  • collecting, storing and circulating of Polish and foreign standardisation documents,
  • carrying out tasks of Standards Information Point,
  • cooperation with the Polish Committee for Standardization,
  • maintenance of ISO/IEC 27001 compliant system documentation.

Main tasks of the Team include:

  • performing the tasks of the PATLIB Patent Information Centre,
  • cooperation with the Patent Office of the Republic of Poland and European Patent Office,
  • consulting on advanced patent database searches,
  • registering patent specifications of university employees in the AGH Authors and Publications Database (BaDAP).

Main tasks of the Team are to promote the Library's services and activities by:

  • preparing events at the AGH University Main Library,
  • managing social media (Facebook, Instagram, Youtube, LinkedIn),
  • managining AGH University Main Library Newsletter,
  • preparing content for publication in university newsletters,
  • preparing promotional materials.

The main tasks of the Team include:

  • Open Science trainings,
  • support for University staff in Research Data Management,
  • Data Management Plan consulting,
  • consulting on possibilities of publishing in Open Access,
  • Open Science website administering,
  • trainings on entering research data into RODBUK Cracow Open Research Data Repository,
  • RODBUK Cracow Open Research Data Repository administering.

The main tasks of the Team include:

  • support for AGH students, AGH doctoral students as well as university staff in uploading publications to the AGH University Repository,
  • trainings on entering publications into the AGH University Repository,
  • AGH University Repository administering,
  • developing rules for the AGH University Repository documents circulation,
  • AGH University Repository development.

The main task of the Team is the managing of the AGH University Main Library website. This includes content management, technical support, cooperation with users and staff as well as the AGH Communication and Marketing Centre.
